Role Summary
We are seeking a proactive and highly organised Project Manager to coordinate the delivery of a variety of HubSpot projects with a focus on integrations and migrations. This role is pivotal to the smooth and timely execution of client deliverables and project momentum across teams.
The successful candidate will also oversee the Project Administrator, and support the Senior Project Manager to make sure the right people are working on the right tasks at the right time. You will work closely with team leads, consultants, and operations to maintain visibility of capacity and deliverables, keeping your assigned projects on track.
Key Responsibilities
Project Management
- Own and manage onboarding and strategic HubSpot projects from inception to completion.
- Deliver projects within budget, scope, and time constraints, making sure work is delivered to a consistently high standard.
- Track project progress and manage workflows using Teamwork.
- Report weekly project updates to internal stakeholders; maintain visibility over deliverables without attending routine client calls.
- Proactively identify and resolve project risks, dependencies, or scope changes in collaboration with the Head of Client Success and Relationship Lead.
Meetings & Planning Cadence
- Attend a weekly capacity meeting to share updates and highlight issues on assigned projects
- Support Senior Project Manager and Client Success Manager to continually improve utilisation visibility and workload predictability.
Process & Tooling
- Deliver assigned projects using agreed Boom PM processes using Teamwork and HubSpot.
- Where relevant, suggest improvements in project delivery workflows, documentation, and resource tracking tools.
- Follow, and champion Boom PM process compliance across teams.
Skills and Competencies
Technical Project Skills
- Confident project planning, milestone tracking, and dependency management.
- Strong budgeting and cost control abilities.
- Competent in risk identification, mitigation, and stakeholder communication.
- Skilled in time management and quality assurance.
Resource & Traffic Operations
- Understanding of capacity planning, task scheduling, and workload forecasting.
- Ability to analyse utilisation metrics.
- Support Senior Project Manager to balance resource availability with client needs.
Tools & Methodologies
- Previous experience of using and improving project management systems and processes.
- Familiar with Agile and Waterfall methodologies.
- Documentation and reporting skills.
Communication & Organisational Skills
- Meticulous attention to detail, able to prioritise under pressure.
- Highly organised, able to independently manage own and others workloads.
- Strong stakeholder management and negotiation capabilities.
- Excellent communicator and active listener.
Ideal Candidate Profile
- 3+ years of project management experience preferably within a digital agency or SaaS environment.
- Demonstrated experience handling a range of client accounts.
- Comfortable operating both strategically and tactically to drive delivery outcomes.
- Naturally organised, with a calm approach and can-do attitude.
