Role Summary
We are seeking a proactive and highly organised Project Manager to lead and coordinate the delivery of upmarket client projects. This role is pivotal to the smooth and timely execution of client deliverables, ensuring strategic planning, task allocation, and project momentum across teams.
The successful candidate will manage high-value, complex onboarding and strategic HubSpot projects while maintaining visibility of team capacity and deliverables. They will work closely with team leads, consultants, and operations to ensure all internal and client-facing projects remain on track and aligned with business objectives.
Key Responsibilities
Project Management (Upmarket Focus)
- Own and manage high-value, complex onboarding and strategic HubSpot projects from inception to completion.
- Deliver projects within budget, scope, and time constraints, ensuring a premium-level experience for upmarket clients.
- Track project progress and manage workflows using Teamwork.
- Report weekly project updates to internal stakeholders; maintain visibility over deliverables without attending routine client calls.
- Proactively identify and resolve project risks, dependencies, or scope changes in collaboration with the Head of Client Success and Relationship Lead.
Resource Coordination & Delivery Operations
- Support efficient allocation of work across project teams to maintain delivery momentum.
- Collaborate with senior consultants and team leads to ensure expertise is strategically deployed.
- Monitor deadlines and proactively flag potential delays or blockers.
- Support the identification and use of available capacity on priority projects and initiatives.
- Generate and analyse weekly utilisation and delivery performance reports in collaboration with Operations.
Meetings & Planning Cadence
- Lead the Weekly Capacity Meeting to evaluate current utilisation, address blockers, and reprioritise as needed.
- Participate in the Monthly Resource Planning Meeting to forecast upcoming project needs and align schedules with staffing.
- Work with Operations and Team Leads to continually improve visibility over workloads and delivery predictability.
Process & Tooling
- Support the Head of Client Success in operationalising scalable delivery processes using Teamwork and HubSpot.
- Recommend improvements in project delivery workflows, documentation, and resource tracking tools.
- Champion process compliance across teams and assist in onboarding new staff to delivery tools and methods.
Skills and Competencies
Technical Project Skills
- Expert in project planning, milestone tracking, and dependency management.
- Strong budgeting and cost control abilities.
- Competent in risk identification, mitigation, and stakeholder communication.
- Skilled in time management and quality assurance.
Resource & Delivery Operations
- Strong understanding of capacity planning and workload forecasting.
- Ability to analyse and report on utilisation metrics.
- Proficient in balancing resource availability with client needs.
- Experienced in managing cross-functional delivery pipelines.
Ideal Candidate Profile
- 3+ years of project management experience, preferably within a digital agency or SaaS environment.
- Demonstrated experience handling complex and high-value client accounts.
- Proven success in managing internal resource allocation and task flow across teams.
- Comfortable operating both strategically and tactically to drive delivery outcomes.
- Naturally organised, with a proactive mindset and bias for action.
