Role Overview
Key Responsibilities
Project Management (Upmarket Focus)
- Own and manage high-value, complex onboarding and strategic HubSpot projects from inception to completion.
- Deliver projects within budget, scope, and time constraints, ensuring a premium-level experience for upmarket clients.
- Track project progress and manage workflows using Teamwork.
- Report weekly project updates to internal stakeholders; maintain visibility over deliverables without attending routine client calls.
- Proactively identify and resolve project risks, dependencies, or scope changes in collaboration with the Head of Client Success and Relationship Lead.
Traffic Management & Resource Operations
- Own the traffic management process for the entire agency, acting as the control centre for task and resource flow.
- Ensure all team members are assigned appropriate and balanced workloads, supporting project leads to maintain delivery velocity.
- Monitor deadlines and proactively chase task completions or flag potential delays.
- Work with senior consultants to ensure they are strategically deployed where their expertise has the most impact.
- Identify and assign spare capacity to budgeted projects and initiatives.
- Monitor and analyse non-billable team activity, using a defined framework to evaluate time spent and recommend focus areas.
- Generate weekly utilisation reports (actual and projected) for the SLT in collaboration with Operations.
Meetings & Planning Cadence
- Lead the Weekly Capacity Meeting to evaluate current utilisation, address blockers, and reprioritise as needed.
- Chair the Monthly Resource Planning Meeting to forecast resource needs and align project schedules with staffing (including freelancers).
- Work with Operations and Team Leads to continually improve utilisation visibility and workload predictability.
Process & Tooling
- Support the Head of Client Success in operationalising scalable delivery processes using Teamwork and HubSpot.
- Suggest improvements in project delivery workflows, documentation, and resource tracking tools.
- Champion process compliance across teams and assist in onboarding new staff to delivery tools and methods.
Skills and Competencies
Technical Project Skills
- Expert in project planning, milestone tracking, and dependency management.
- Strong budgeting and cost control abilities.
- Competent in risk identification, mitigation, and stakeholder communication.
- Skilled in time management and quality assurance.
Resource & Traffic Operations
- Strong understanding of capacity planning, task scheduling, and workload forecasting.
- Ability to analyse and report on utilisation metrics.
- Proficient in balancing resource availability with client needs.
- Experienced in managing cross-functional delivery pipelines.
Tools & Methodologies
- Proficient in Teamwork and HubSpot project management ecosystems.
- Familiar with Agile and Waterfall methodologies.
- Advanced documentation and reporting skills.
Communication & Organisational Skills
- Excellent communicator and active listener.
- Confident presenter and facilitator for internal meetings.
- Strong stakeholder management and negotiation capabilities.
- Meticulous attention to detail and prioritisation under pressure.
Ideal Candidate Profile
- 3+ years of project management experience, preferably within a digital agency or SaaS environment.
- Demonstrated experience handling complex and high-value client accounts.
- Proven success in managing internal resource allocation and task flow across teams.
- Comfortable operating both strategically and tactically to drive delivery outcomes.
- Naturally organised, with a proactive mindset and bias for action.
